EuropeActive is seeking a part-time or freelance IT Expert to manage, improve, and ensure the smooth operation of our IT systems. The ideal candidate will support the organisation’s current IT needs, advise on technological enhancements, and manage IT systems that support our day-to-day operations and future growth. This role will be key in maintaining a secure, reliable, and efficient IT infrastructure, with a focus on system integration, data management, and membership database maintenance.

Position: IT Expert (Part-time/Freelance)

Location: Brussels, Belgium


Key Responsibilities

1. IT Systems Improvement & Maintenance

  • Continuously assess, upgrade, and maintain existing IT systems to optimize performance.
  • Ensure the functionality and security of Microsoft 365 accounts, file storage, collaboration tools, and other software solutions.
  • Perform regular system audits to identify and resolve technical issues.

2. Data Management

  • Manage the integrity and security of membership databases, ensuring seamless data handling.
  • Work closely with relevant staff members to integrate new data sources and systems into the membership database.
  • Oversee data backup, recovery, and ensure compliance with GDPR and other relevant data protection laws.

3. Technology Advisory & Support

• Provide expert advice on tools, processes, and procedures to streamline operations.

• Recommend and implement shared services or software solutions that enhance productivity and efficiency.

• Evaluate new software tools and emerging technologies for potential adoption by the organisation.

4. System Integration

  • Lead the integration of various systems, ensuring smooth data flow and reduced operational silos (e.g., integration of CRM with membership database, financial tools, or event platforms).
  • Identify opportunities for automating manual processes and improving workflows.

5. Cybersecurity & Risk Management

  • Ensure robust cybersecurity practices are in place, safeguarding systems and data from internal and external threats.
  • Regularly review security protocols and make necessary adjustments to address vulnerabilities.
  • Educate staff on best practices for digital security and data protection.

6. Documentation & Reporting

  • Document system processes, procedures, and improvements to ensure clarity and ease of understanding for all team members.
  • Prepare regular IT reports for management, outlining system performance, upcoming upgrades, and any areas requiring attention.

7. IT Vendor & Contract Management

  • Manage relationships with IT vendors, including software providers, maintenance services, and external contractors.
  • Ensure cost-effective procurement and timely renewal of IT contracts.

8. Onboarding and IT Training

  • The IT expert could be responsible for onboarding new employees with an introduction to the company’s IT systems, as well as providing occasional training sessions for staff to ensure they are making the most of the tools at their disposal.

9. Collaboration with External Partners

  • The IT expert could collaborate with external consultants or partners for specific projects (e.g., database migrations, large-scale system upgrades).

10. IT Strategy and Innovation

  • In addition to daily operational support, this role might include advising on longer-term IT strategy, helping the organisation scale its systems to support future growth or new initiatives (e.g., new membership models, expanded data analytics capabilities).


Desired Skills & Qualifications

Technical Skills:

  • Good understanding of IT infrastructure, including networking, security, and cloud technologies.
  • Experience in CRM systems and membership management software is an advantage. 
  • Proficiency in Microsoft 365, Windows Server and experience with Azure, Odoo, CiviCRM, Drupal, WordPress and cloud-based tools is highly desirable. 

Experience:

  • Proven experience in an IT support or systems management role, ideally in a nonprofit, membership-based, or similar environment.
  • Experience with data management and compliance (e.g., GDPR, data security).
  • Experience in integrating different IT systems and software solutions.

Personal Attributes:

  • Proactive and able to work independently with minimal supervision.
  • Strong problem-solving abilities and an analytical mindset.
  • Excellent communication skills and the ability to explain technical issues to non-technical stakeholders.
  • Detail-oriented with a focus on accuracy and data integrity.

Other Requirements:

  • Fluent in English
  • Availability for part-time work (approximately 2 days per week), with flexibility in hours. Freelance (with VAT number) can be an alternative. 
  • Based in Brussels, or within commuting distance.
